This position is beyond me, but I could definitely see myself working in UX at the Mayo Clinic someday.

Marc Herring liked thisMarc Herring liked thisWe work with a general contractor in the Twin Cities. Zach spent 10 years in advertising before he started renovating kitchens and bathrooms. Now he runs the whole operation, from materials sourcing to client relationships to the books. QuickBooks wasn't working for him, but it's not because anything was necessarily broken. It's that the platform was built for every industry, which means it wasn't built for Zach's industry. He told us: "It felt like I was doing terribly as a business." But he knew that wasn't true: he had bought a houseful of materials recently and would get paid by the client in a couple weeks. QuickBooks was just confusing a normal cash gap for a bad month. In order for Zach to see exactly what a job cost and what it returned, he regularly had to put in hours of manual tagging. Every Friday, instead of getting time to run the numbers and make decisions about his projects, he was blocking off 6 hours to organize his books by hand. Then he found Ambrook. He started tagging transactions by project instead of just by category, and bank syncs and AI matching did the categorization for him. Within 3 months, bookkeeping dropped from 6 hours a week to less than 1. $1.6M+ in annual inflows and outflows are now running through one platform, and he's had zero friction switching his clients over. And Zach is putting that extra time back into the job: sourcing tile from the right supplier, meeting with cabinetmakers, and partnering with his clients. There are millions of independent, project-based businesses like this. I'm thinking of contractors, remodelers, tradespeople. The bookkeeping software out there is built for "every business," which in practice means it's built for none of them. Nobody sets out to buy "contractor accounting software", but business owners do want to understand which jobs are making them money and which ones are costing them. It's what enables them to build family-run businesses that last for generations. That's what we're building at Ambrook.

Marc Herring liked thisMarc Herring liked thisThe most effective AI feature I've worked on was one number. We had an AI risk score in the platform, and adoption was stuck under 25%. Not declining, just flat, which is worse than it sounds. Flat means people had already decided it wasn't for them. They glanced at it, then ran their own checks and kept their own rules anyway. The problem wasn't the model. The score was a black box, and people don't act on numbers they can't interrogate. So we opened the box, just a hair. Not a full explainability suite, just enough visibility into what the score weighs for someone to answer the question that actually matters: am I comfortable acting on this number? Adoption more than doubled. It passed 50% and it's still climbing. But the result I didn't expect was what happened elsewhere in the platform. As users leaned into the score, they started simplifying their own risk tolerance rules. Roughly every four rules collapsed into one, because the score was now carrying the weight those rules used to carry. That's the lesson I keep coming back to. When people trust one number, they stop building defenses around it, and the whole workflow gets lighter. We set out to improve trust. The efficiency was a byproduct. Marc Herring reacted on thisMarc Herring reacted on thisMy latest article provides an update on how I'm using Codex to manage all of my projects and, when things go smoothly, increase by ability to focus and act. This doesn't always work and the most common risk of agentic workflows right now is cognitive debt. But I try to show that properly managed workflows can lead to cognitive abundance. A few other things I hit: - I use pinned threads in Codex to manage major projects, including course updates, textbook revisions, talk prep, and admin-related work. It used to be that you'd have to restart a conversation with the context window ran out, but Codex compaction is so amazing that you can just continue the same thread (forever, seemingly). On the backend, each thread is an agent that has access to all of a project's context and work. When necessary, the agents can access other workspaces for more context. - A lot of what the agents do is communicate with other agents. They do this in the YAML section of files, which ends up creating massive cognitive debt. I completely ignore this part of my workspace but it's crucial for agents cooperating with other agents. - Agent-to-agent communication is critical for keeping track of complex projects! Machines can track things our brains can't. Humans have better things to do than store YAML content in their heads. - When enough agent-produced information exhausts my ability to understand what's happening behind the scenes, I experience severe cognitive debt. - When the agent-produced information INCREASES my ability to focus and act, it leads to cognitive abundance. These new agentic workflows for knowledge workers should be stewarded so they decrease cognitive debt while increasing cognitive abundance. It's possible! link in chat.

That's why flexibility is such an important part of bookkeeping for farms. Aryn understands this well. She spent 12 years running a regenerative livestock operation, alongside a bookkeeping company and a general excavation business. She was the producer trying to make sense of the numbers; she was also the bookkeeper trying to make the numbers make sense. Now at Ambrook, she loves seeing things click for other operators: when they see how simple the books could be, or when the numbers finally reflect their gut instincts about the business. The belief that subject matter expertise can replace the need for research and an SME already knows the right thing to do is irreconcilable with real user-centered design, and pushes us into the role of Feature Designers.
