One of the questions I ask before accepting a documentation project is simple: Is the system ready to be documented? That sounds obvious, but it isn’t. Sometimes teams want documentation because things feel messy. Processes feel unclear. Handoffs feel fragile. Knowledge lives in a few people’s heads. The instinct is to start writing. But documentation can’t fix a system that no one fully understands yet. When that happens, the documentation captures confusion in a more organized format. Good documentation reflects clarity that already exists. If the system itself is still shifting, the first step isn’t writing. It’s understanding. Where decisions happen. Who owns what. What the process actually looks like today. When those things are clear, documentation becomes much easier to build and to trust.
