Should AI become your system of record? No. Can it generate financial reporting logic? Yes. The distinction matters more than most teams realize. We've spent years helping finance organizations build systems they can rely on. So when AI enters the reporting conversation, we ask the question we've always asked of any tool. Does it strengthen control, or quietly erode it? AI is genuinely capable. It writes logic, analyzes transactions, and surfaces patterns faster than any analyst. But financial reporting isn't a creative exercise. When the numbers drive decisions, they have to be: - Deterministic, so the same inputs always produce the same result - Repeatable, so the process holds up month after month - Auditable, so every figure traces back to a transaction Those are not qualities you delegate to a probabilistic model. In his latest article, Meir Bulman lays out an approach that respects that boundary. Rather than asking AI and SuiteQL to become the reporting layer, he positions them as the logic layer, while NetSuite Multi-Book provides the record structure that preserves financial truth. The question is never whether AI belongs in accounting. It's where. Put it in the logic. Keep your system of record where it belongs. Everyone is talking about AI agents and MCP right now. The challenge isn't getting AI to do something impressive once. The challenge is getting the same useful outcome across users, across sessions, and across time. That's where we think the conversation gets interesting. In his latest article, Chidi Okwudire explores how NetSuite MCP Custom Tools can help organizations move beyond experimentation by embedding business-specific knowledge directly into the AI workflow. The key idea is simple: don't make the AI rediscover your business every time it runs. Instead, package the context, logic, and workflow patterns that matter most into reusable tools so the AI can focus on producing outcomes rather than figuring out how your company works. Chidi breaks down the concept and shares a real-world example here: https://lnkd.in/dNdJgcHH #UnlockedNetSuite #NetSuite #AI #ERP #MCP #AgenticAI

Decide upfront what actions your AI agents should perform in NetSuite. When configuring AI agents and connectors, carefully consider the actions you want them to perform upfront. Avoid the common pitfall of granting excessive permissions for convenience. Instead, embrace the principle of least privilege. Start with the most limited set of permissions and grant access incrementally as specific use cases require it. This approach enhances security and control. In his latest article, our Accounting Practice Leader, Meir Bulman, explores a transaction-driven approach to Revenue Recognition and Cost Amortization in NetSuite that works directly from the business data companies already maintain. For many organizations, the data needed to support ASC 606 compliance already exists inside the transactions flowing through the system every day. The bigger challenge is designing the right accounting architecture around it. The article explores: • Revenue recognition tied directly to transaction activity • Matching cost amortization alongside revenue recognition • Forecast-and-review workflows before posting to the GL • Flexible profile-driven logic instead of rigid parallel structures • When NetSuite ARM is the right fit and when a lighter operational model may make more sense One of the themes that stands out most: Good systems do not just automate accounting. They reflect the operational truth of the business. In Marty Zigman’s latest article, he explores why AI coding agents are shifting the economics of software development and why that makes architecture, governance, transaction integrity, and business modeling even more important. Key ideas: • AI compresses app-building time • Interfaces are no longer static • The data model and business rules matter more than ever • ERP is not just software. It is operational truth • AI without gates & guardrails simply automates chaos One of the most important concepts in the article: Planning commitments lead to operational execution, which leads to accounting truth. When those three stay connected, AI becomes a multiplier instead of a risk. This is the future Prolecto is focused on: Helping organizations unlock NetSuite’s foundational strengths, with trustworthy AI-driven operations. Addressing the challenge of duplicate customer data in NetSuite, especially after acquisitions, can cripple operations like booking transactions and running reports. While NetSuite has a deduplication module, a specific client needed a more tailored approach. The key benefit lies in full control over defining a 'master account' based on custom criteria, whether through SQL or Excel. A crucial step involves migrating contacts to the master account first, followed by a deduplication process, as NetSuite prevents duplicate contacts under the same account. This solution tackles a long-standing, complex manual task, bringing excitement for a cleaner, more reliable database. Most companies think inventory allocation is about inventory. It’s not. It’s about promises. Suppliers promise delivery dates. Manufacturing promises production timelines. Operations promises movement. Sales promises ship dates. Customer service inherits the fallout when those promises break. What makes NetSuite difficult for many organizations is that the system is constantly reconciling all of those promises in real time. So when teams say: “NetSuite changed my commitments again…” What’s actually happening is the ERP is reevaluating which promises the business can realistically keep. In this recent article, Prolecto's operations leader, Hector Cardenas shares the kind of operational thinking he brings to clients navigating complex supply chain and fulfillment environments inside NetSuite. Hector reframes NetSuite’s commitment engine as a “Promise Engine” instead of just an inventory allocation tool. A few key takeaways: • Inventory commitments are dynamic, not static • Predictability and controllability are the real operational challenges • Governance and visibility matter more than most companies realize • Allocation logic becomes easier to understand once you see the supply and demand promise streams clearly One of the strongest ideas in the article is that NetSuite sits in the middle of competing operational promises, continuously trying to determine which commitments the business can realistically support at any given moment. That framing changes how you think about ERP entirely. Worth reading if your organization struggles with shifting commitments, fulfillment instability, or allocation confusion in NetSuite. #NetSuite #ERP #SupplyChain #InventoryManagement #Operations #Manufacturing #ERPStrategy #UnlockNetSuite Marty Zigman Hector Cardenas Meir Bulman, CPA David Mish Chidi Okwudire

If you run subcontractor-driven services in NetSuite and need customer credit memos to trigger accurate vendor-side cost reversals without manual reconciliation, this is for you. You issue a customer credit, but the subcontractor costs stay in place. Now your margins are off and someone is reconciling what should never have been out of sync. We see this pattern all the time. NetSuite gives you the building blocks. That’s not the problem. The issue is how the information is modeled. Most teams jump straight to automation. The best first move is to create a clean line-level connection between the revenue and the originating subcontractor work, and carry that through both the AR and AP sides. Once you do that, things get a lot simpler: • Credit memos tie back to the exact subcontractor work • Subcontractor cost reversals become deterministic • Vendor credits can be generated cleanly and in groups No guessing. No manual cleanup. Just a clear audit trail. Model first. Automate second. Over the years, we have noticed a pattern with NetSuite implementations. Many organizations see NetSuite as software to implement, when in reality it is a platform that should be deliberately crafted to how the business operates. Companies implement NetSuite expecting it to become the operational backbone of the business. And in many ways, it helps. Financials improve. Reporting gets better. Processes become more organized. But the system often stops short of becoming the strategic platform leadership originally intended. What we have learned is that this gap usually is not about the software. It is about how the system is approached, designed, and fitted to the business. When organizations shift from solving individual problems to designing their operating system, NetSuite starts to become something very different. It becomes a platform for automation, coordination, and scalable growth. In this new article, our founder Marty Zigman explains that shift from break-fix thinking to solution thinking.
