  • One of the most profound acts of leadership isn't what you do when a team member is hired but how you care for their legacy and their family when they pass away. In moments of sudden loss, your ministry must move with both deep empathy and absolute legal precision. Failing to act quickly on benefit transitions doesn't just create compliance risks; it can leave a grieving family without critical care when they need it most. Here is your quick-action operational checklist to navigate this transition well:

    • Checklist of a ministry's administrative requirements when an employee passes away. The first: Life Insurance & Retirement which includes retrieving beneficiary forms, contacting the carrier, and guiding the family through the claims process. The second step is: Health Insuranace & COBRA which consists of issuing a formal COBRA notice, explaining coverage extensions, and ensuring care continuity. The third is Final Paychecks & Wages, which requires verifying state laws for the final pay timeline, determining the correct payee, and calculating accrued wages, vacation and PTO owed.
  • "Isn't a Staff Lifestyle Agreement kind of...legalistic?" Nope, not even close. A Staff Lifestyle Agreement protects the integrity of your mission and the wholeness of your team. That's discipleship. Legalism is following rules to earn a standing. Those are not the same thing. 🙅 When staff push back on these standards, it's rarely rebellion. It's usually a gap in how expectations were communicated, or a misunderstanding of what biblical accountability actually looks like. This isn't about building a "gotcha" culture. The goal is restoration and health, for the whole team. So if someone treats the agreement as a burden instead of a blessing, that's your cue to lean into education, not enforcement. Sit down. Walk through the biblical foundation together. Talk about how a shared faith leads naturally to a shared mission. But here's the harder truth: If someone fundamentally won't align with your ministry's core beliefs, they've already stepped outside the unity your leadership requires. And the most honorable thing you can do at that point is help them transition somewhere that fits their convictions better. The bottom line is that this isn't about policing behavior.   • There is a common misconception in ministry leadership that once an ADA accommodation is documented and approved, you shouldn't need to bring it up again. But silently filing "set it and forget it" paperwork doesn’t protect your team members—it can actually leave them feeling isolated. The heart of supporting staff with disabilities isn't a one-time checklist item during onboarding. It’s an ongoing, caring dialogue. True stewardship means checking in proactively, not out of legal fear, but out of genuine care for your people. ✅ Is your church remodeling the office or sanctuary? A quick, gentle check-in ensures a team member using a wheelchair feels seen and included in the changes. ✅ Is a software update rolling out? Ask your staff member using a screen reader if the new tools are playing nice with their setup. ✅ Was an adjustment temporary? If someone had a modified schedule during a tough season of physical therapy or health struggles, they might actually be ready to return to a normal routine now that the season has wrapped up. If their condition is static and unchanging, you don't need to ask for fresh medical paperwork. Just ask a simple, supportive question: "Is this adjustment still helping you meet your goals and thrive in your mission?"
